25 Nov Time Management Made Easy (And, dare I say it – Gorgeous! Just like Ryan Gosling)

Yes, I said Time Management can be gorgeous! Implementing an effective, easy time management strategy will absolutely CHANGE YOUR LIFE.

I used to wake up feeling motivated, with a list of things I needed (and wanted) to achieve in the day.  However, I would sadly end my day deflated knowing that I didn’t achieve what I set out to. Hating the feeling of lying in bed each night making a mental list of everything I didn’t do, I set out on a mission to change how I managed my time.  I wanted to finish my days on a high, feeling fulfilled, knowing that (for the most part) I’d had a productive day.  Productivity = happy vibes = a great night’s sleep.

Of all the people, I know, Jo Moloney is one savvy chick who seems to have it all together when it comes to managing time. She works as a Client Relationship Manager for a City firm two days per week; runs her own yoga business teaching four evening classes a week; and works as a Virtual Assistant! Some might think – ‘wow, how does she manage all of that without feeling burnout?’  She’s shared her time management strategy with me so I can share it with you.  She says…

“I create a To Do list for each day.  I like a hard copy To Do list to write on so I can easily refer to it at my desk or whip it out of my handbag on the go. Like most people, I usually have multiple things I want to get done in any day – and unrealistic expectations of what is actually possible. At the start of my day (in consultation with my trusty Outlook calendar) I prioritise my Top 3 Tasks for the day and look forward to getting stuck in and crossing them off, in order. LOL.  Happiness is… crossing of your jobs, right?! That sense of accomplishment.”

I have to agree with Jo: being organised, prioritising, completing the jobs that need doing first and ticking the items off as completed is THE BEST FEELING.  It focuses and motivates me, allowing me to move through my tasks mindfully, rather than allowing myself to be distracted (having a sneaky look at Facebook right now, anyone?!).

Here is a list of some tips to help with time management:

  1. Prioritise. I think to myself: Is it essential I go to Coles today, when I have food in the house already, and have more important things that require my attention?
  2. Take Breaks. Just because you sit at your desk for 12 hours a day doesn’t mean you’ll be more productive.  It’s important to get up, stretch your legs/arms, clear your mind, have lunch and reset.  Managing time isn’t about staying up later or waking up earlier.  It’s about realistically knowing what you can achieve in your day, whilst keeping a healthy, balanced life.
  3. Say No. It’s OK to say NO.  I used to spend too much time with in-person meetings; now, feeling confident that I can run my business (for the most part) through online meetings, I simply say “No” when potential clients ask to meetup.  However, I must admit it is nice to get out and about and meetup over poached eggs and coffee from time to time –  actually applying a face of makeup and wearing an outfit that doesn’t consist of my comfy shorts.
  4. Limit Distractions. I put my phone on silent.  I close my social media accounts (unless I am within my Social Media strategy time I have set myself). I have one email browser open and write one email at a time.  I close my office door. I work on one thing at a time. It’s also easy to procrastinate with tasks that don’t bring as much enjoyment as others, always putting them at the bottom of the list.  But think of all that time you are wasting thinking about completing the task; time that could have been spent doing it.
  5. Small Chunks. BE realistic at what you can get done each day.  For example I don’t work many hours every second Wednesday because Quade and Maddox don’t go to Kindy/Day-care on this day. My To Do List this day is minimal.  Through growth I realised that my children are only little once in their lives and I need to enjoy this time with them and it’s important that they have my undivided attention at times.  If you have a big task to complete, being realistic is important. Breaking the project into smaller, more manageable chunks is the key.  For example, if you are writing copy for your website, instead of writing on your daily To Do list – “Write copy for website”, you would write on Monday’s To Do list – “Write Copy For Homepage”.  Then on Tuesday’s list you’d write – “Write Copy for About Us page”, and so on, spreading the big project across a period of a week.
  6. Let Perfection Go. I understand you might like to do things perfectly, but realise what’s perfect to one person might not mean perfection to another. I’m not saying don’t do things properly – it’s imperative the dishes are washed properly. I’m also not saying don’t aim high. But if you are a perfectionist (you’ve likely recognised this trait within yourself by now), chances are you’re also always feeling disappointed or that you are failing. I used often to experience anxiety; I’d mop the floors only to have the kids spill their Milo the following morning. This alone would be enough to send me into an anxiety attack, yelling at my kids, feeling short of breath and breaking down crying. I thought to myself – this is no way to live. Pull yourself together Jade – they’re kids!  As much as I luv a clean, sparkling home, accidents happen! The floor can’t stay perfectly clean forever, just pull out some paper-towel and it will take three seconds to clean up. This change in mindset didn’t happen overnight, but it did happen, with the help of a Life Coach and Psychologist.
  7. Delegate. You DON’T have to do everything yourself. Is it time your kids learnt how to make their own beds?  Does your husband help make dinner some nights a week? Can you afford a cleaner once a fortnight to help OR a Virtual Assistant, if you have a business? I used to be a control freak – goes hand in hand with being a perfectionist really.  Learning to ‘let go’ is an amazing feeling and now I live a more productive, less stressful life.  More ZEN!
  8. Use a physical To Do List. I am a visual person so a daily To Do List is an important component for me, for time management. Rather than keeping a mental list I can write down everything that needs doing. It means I’m more organised and don’t have to stress out about potentially forgetting something important. Especially as business grows and I have more clients. It allows me to prioritise. 

 

However, I recently got sick and tired of making full A4 page To Do Lists (listing too many things each day) on pieces of random paper or in any notebook I could find lying around.  I went looking for the perfect To Do List Notepad, but couldn’t quite find one that resonated with me.  So – I created my own.  Woohoo!!!   • Note the time (actual time or just duration) to complete each task; and
  • Reflect on how well your day went.

18 Nov Top 4 Ways to Ensure a Stress Free Christmas Break for You and Your Business

When you were a kid chances are you would desperately wait for the school holidays and Christmas celebrations to commence; but now, you have a business and instead of feeling excited you’re probably worrying that this period will stress you out to the max.  It can be quite scary for a small business owner to have a long holiday like the Christmas and New Year break; fearful of how business will operate ‘without you’. Here are 4 ways you can help make it a stress free Christmas period for your business:

While the Christmas break is a chance to plan for the coming year, it also a time of reflection and the realisation that you should be spending it with your family. Running a business during the holiday season can be intensely stressful, where you feel divided between work and quality family time. Fortunately, there is a way to deal with all that without having to cry or drown yourself in eggnog!

1. Make a list
Just like Santa, you need to make a list and check it twice! With 987 more things to do at home, it’s really easy to miss something important for work.  Chances are your calendar is already filling up with Christmas events. A list will allow you to keep tabs on your to-dos and will keep you on the top of your game, every time. 2. Ask for help
If you have employees but they are already overwhelmed with work (or taking time off), allocating them more to do isn’t going to be productive or make you very popular! To offset that burden and give yourself some more space, your best bet would be to outsource what you can. Consider a Virtual Assistant. And this isn’t just for business… Perhaps your time would better spent working than cleaning the bathroom? Treat yourself to a housekeeper or gardener so that you can concentrate on the really important stuff!  Or alternatively, hand of the business reigns so you can spend quality time with your family! Work might slow down but bringing on an assistant to monitor your Inbox will be a huge time saver AND reduce stress.

3. Shop smarter
Either shop early or shop online to save some time. Gone are the days when you would have to move from store to store to find the right present (though I must admit, I love the Christmas Crazy at the shopping centres). What I would recommend though is online groceries, there is NOTHING fun about a supermarket in the lead up to Christmas! Another tip that I personally do, when buying for kids interstate or overseas, I buy online and have it delivered directly to their house and then ask their mum or dad to do the wrapping for me. This saves me lining up at the Post Office and the extra delivery cost!Christmas Break

4. Give yourself a break
Remember that time when you were planning to start your own business and the primary reason was to be able to set your own hours and take time off whenever you want? Now is the time to make that dream a reality! Everyone needs and deserves a break, after all, shouldn’t you be able to enjoy the fruits of your hard work?

Learning to juggle business and home life will always be tough, especially during school holiday times but it shouldn’t be a time of dread. Instead, plan your days into bite sized pieces and remember, you are allowed a break! So tell me, how will you be spending your Christmas this year?

07 Nov A Style Guide is your Brand

 

Consistency is the Secret Sauce

I recently saw, within a FB group, a lady who was seeking design advice. She had posted 3 different graphics, that she had created using Canva. Each one had a different look and feel. She asked the group’s members which of the 3 was the best. None of the options seemed to have followed a style guide, because if so there would have been consistency amongst them. So I asked her the following questions:

“What are your brand colours?” and

“What are your brand fonts?”

A style guide means consistencyShe said she had a logo, which she showed, but I was baffled as none of the images she had created featured her logo, or her branding. I replied to her with the following advice:

“You should be using the fonts and colours that make up your brand identity. Anddd you should have your logo on the graphic. Your goal, as a small business owner, is to build your brand recognition, and so doesn’t it make sense to show your brand?”  For some it’s common sense, for others it hard to wrap their head around a branding strategy. I went on to say “The only way you are ever going to achieve this is through consistency.”

Consistency is the secret sauce to increased brand recognition.

Unfortunately, many business owners:

  1. Create their own brand identity using programs like Canva or Publisher.  These programs don’t provide them with essential files such as the design file (eps) which is editable and you’ll find if using services providers such as sign writers they’ll ask for such a file type.
  2. Don’t give much attention to the exact colour codes and fonts that make up the brand’s identity. Think the popular ladies clothing label Forever New… their logo is black and silver / white… you wouldn’t all of a sudden see them using a cursive font and the colour navy blue. Why, because they have spent a lot of time and money to build their brand and their customers would be confused and questioning ‘what has happened to Forever New?’
  3. Use a designer, who isn’t as professional as some, and who doesn’t provide their client with a Brand Style Guide, the font files, textures (if applicable) and colour codes that make up the business’s brand identity. A great designer should hand these files over; supporting their client, ensuring consistent application. They should also include a PNG transparent file (a file which you can position on top of images without the white background you would have with a JPEG file) so you can create your own content for social media. Plus, an EPS file,  a high- resolution PDF and if required variations of your logo (that form a part of a brand family) so you can apply your branding in all contexts. i.e. sized to suit your social media profile picture spaces. Files supplied should be suitable for both web and print application.

Here is an example of a Brand Style Guide, a reference document, detailing the elements and application of a brand. You can see it shows the primary logo, colours, elements, etc.

Example - Style Guide: Your Virtual Asset

A BRAND STYLE GUIDE is your brand’s manual. There’s no ifs, ands or buts about it; having one is a must. It needs to show:

  • Colour palette and codes,
  • Font styles,
  • Application of brand,
  • Textures and,
  • Variations (submarks) of your logo.

All of this is VITAL information to support a great brand strategy.

A style guide ensures that no matter WHO is using your logo in what format they are upholding your brand’s identity – after all your brand identity is what your customers know you by. When using a professional printer you should be supplying them with your style guide.  Same with businesses you advertising through.  The last thing you want is for someone to disrespect your brand by cropping your logo or stretching it, making it appear pixelated. You suddently don’t appear as professional as you should. You can also supply this to other designs who may work on your brand, your Virtual Assistant, your Web Developer and so on.  You don’t see McDonald’s using a different gold or red just because they’re original designer isn’t available to do their latest campaign.

Brand consistency makes your brand seem more dependable and professional. When your brand is consistent, you are showing that your product or service is synonymous with reliability and over time your brand recognition will grow.

Here is another example of a style guide for a client of mine – Julie Davidson – A Brisbane Personal Trainer.  You can see that her primary logo is a horizontal logo. Of course, this wouldn’t fit in the FB profile pic space or in some other applications and so submarks have been created that make up her brand family.

When a brand has a style guide you will be saving time and money. An easily accessible style guide means you and anyone you employ who will use your logo will adhere to your brand’s identity. There will be no going backwards and forwards to the original designer (if you can get a hold of them, that is) – which may incur a charge as they will have to go through their files – to get the information you need to save both you and your employees / suppliers / printers from flying blind.

I ask you – Are you a professional business?  Do you want to be perceived as professional? If the answer is yes, invest in a great brand strategy. Use a great Brand Strategist who is going to give you everything you support you with advice on the perfect brand identity for you but also how to apply it consistently.  Remember, like cement in the foundation for building a house, branding is the foundation for a successful business. Some people judge confident people.  Some form the perception that confident people are arrogant and some people become envious.

23 Oct You Are A Life Changer!

Customer service is a life changerEvery business owner knows they need customers but do you really understand why?  A customer isn’t just there for you to make a dollar off.  Your entire business is centered on this person!  You
chose your product or service based on their needs, you set up your business model based on their habits, your branding is targeted to what appeals to them and your service is based on what they deserve.  And do you want to know a secret?  They know all this better than you do, they just don’t realise it.  That’s why customers get so upset when you don’t meet every single one of their needs.

Impress them! 

They expect you to know what they want, before they do and do you want to know another secret?  You should!  You should know exactly what they want and how you can give it to them.  But most importantly you should know how to show them this.  Show them that you understand their needs, can solve their problems and change their life.  If this sounds dramatic, then it should.  You are a life changer.  It may only be in a small way but think about it, your customer is coming to you with a need or a problem (whether it be deemed small or large) and if you solve it, you will change their life.  Did you know you were that important to them?  Does knowing the power you have, change how you would treat them? The size of the transaction is irrelevant, what is important is how you leave your customer feeling.  This is what customer service is all about.customers may forget what you did but they wont forget how you made them feel

Logos. They’re all around us, calling for our attention: on social media; in magazines, our email inboxes and plastered on buildings. How do you ensure your logo stands out from the crowd AND connects with your ideal customers? On the face of it, you may think that is a big ask, however it is absolutely achievable, using the five key ingredients for designing an effective logo.

What is an ‘effective logo’?
Before I share my ‘recipe’, let’s define what constitutes an ‘effective logo’…

Firstly, a logo is a graphic design element taking the form of a stylised business name, symbol or other image which identifies a business. Here’s my logo –

I’m the first to advocate that a brand is much much more than a logo, butttttttt a logo is central to branding a business; from a massive multinational to a small business. A logo is even created for systems, festivals and product lines. Some small business owners don’t understand the role of a logo, or believe that it’s necessary to have one. But consider this…the aim of every business is to create awareness. This is otherwise known as brand recognition. If you don’t have a brand, how will your build recognition? Even home-brand products have a brand identity; a logo!
